Terms of Service

Last updated: 24 August 2026

These terms govern the use of VenueGuard, the door control and ban management service for bars, nightclubs and other licensed venues. By creating an account or using the door screen, you agree to them.

1. The service

VenueGuard lets venue staff scan identity documents, driving licences and passports, verify age, review visit history and manage ban records.

The service is available as a monthly subscription or as an on-premise installation licensed to a single business.

Features may be added, changed or withdrawn as the product develops. Material changes are announced in advance where reasonably possible.

2. Accounts and venues

Whoever creates a venue becomes its owner and is responsible for the accounts, roles and settings within it.

Each staff member must use their own account. Sharing sign-in details is not permitted, because door decisions are recorded against the signed-in user.

You are responsible for keeping passwords and devices secure and for notifying us of any suspected unauthorised access.

3. Acceptable use at the door

Documents may only be scanned for age verification, entry decisions and venue safety, and only where local law permits.

Ban records must describe a genuine incident. Records must not be created for discriminatory reasons or to harass an individual.

The service must not be used to build profiles unrelated to entry decisions, or to share personal data with third parties outside the sharing levels offered in the product.

4. Entry decisions remain yours

VenueGuard provides information; it does not make entry decisions. The final decision to allow or refuse entry always rests with the venue and its staff.

Document reading is automated and can misread damaged, worn or poorly lit documents. Staff must check the result on screen before acting on it.

The venue remains responsible for compliance with its licence conditions and with age verification law in its jurisdiction.

5. Subscription, licensing and payment

Subscriptions are billed monthly per venue unless agreed otherwise in writing. Fees are payable in advance.

On-premise installations are licensed for use by the named business only and may not be resold, sublicensed or redistributed.

Non-payment may lead to suspension of access. Data is retained for a reasonable grace period before removal.

6. Availability and support

We aim for continuous availability but cannot guarantee uninterrupted service. Maintenance windows are kept short and scheduled outside peak trading hours where possible.

The door screen keeps working offline for core checks and synchronises once the connection returns.

Support is provided by email during business hours. On-premise installations are supported for the software itself, not for the customer's own hardware or network.

7. Liability

The service is provided on an 'as is' basis to the extent permitted by law.

We are not liable for indirect or consequential loss, lost profit or lost custom arising from an entry decision, a misread document or a period of unavailability.

Nothing in these terms limits liability that cannot lawfully be limited.

8. Termination

You may cancel at any time; access continues until the end of the paid period.

We may suspend or terminate an account that breaches these terms, particularly where document scanning or ban records are misused.

On termination, venue data is deleted after the retention period configured for that venue.

9. Changes to these terms

These terms may be updated as the service evolves. The date at the top of this page shows the current version.

Continuing to use the service after an update means you accept the revised terms.

10. Contact

Questions about these terms can be sent to the support address given in your account.

This text is a general template. Each venue should have it reviewed against the laws of its own country and region before use. Nothing here is legal advice.
